Changing an Existing Interface

Who should I call if I want to make changes to an existing interface?

Call the University Financial Helpline at (612) 624-1617 and ask to speak with someone about your interface.


What is considered a "change" to an interface?

The following provides examples of a change that should be communicated to FSS. It is NOT all-inclusive. It's better to give us a call and discuss the change if you're not sure.

Contact FSS if any of the following are true:

  • You want a new Transaction ID (Tran ID)
  • Your business activity is changing (used to bill only for copying, but will now bill for binding services)
  • Your accounting activity is changing (going to start processing PV's for capitalized equipment as opposed to just expensed equipment)
  • You will be using a different account string (any combination of area, org, object, sub-object is changing)
  • You will be processing a new document type
  • You are submitting data at a different level of detail
  • You are changing the timing/frequency of your interface
  • Your sponsored account activity is changing significantly
  • Your reconciliation procedures are changing

Explain how the Submitting Area and Tran ID work. Can I change one without changing the other?

The Submitting Area is a unique three digit alpha code that is assigned to each interfacing system. Some systems may have more than one in order to distinguish between different types of activity in the ledger. A Tran ID (Transaction ID) is an additional layer of identification that becomes part of the document number. In most cases, it is the same as the Submitting Area, but it can be different. Some interfaces have several Tran ID's so that documents can be more clearly distinguishable by the receiveing department. For example, bookstores and parking both have a Submitting Area of SSO, but the Tran ID's are BKS and PKG allowing the individual documents to be clearly identified.
