The protection of University of Minnesota's financial data and systems is everyone’s responsibility. Here are some reminders to make each of us more aware of information security and privacy policies, procedures, and standards. Compliance with information security and privacy agreements, policies, procedures, and standards must be followed and supported.

Security responsibilities for holders of CUFS User ID and SecurID, Data Warehouse ID, or Internet ID (X.500) with access to financial data and systems:
- The authorized owner of the User ID must manage passwords his or her own password.
- Passwords must remain confidential. Passwords must never be shared!
- Supervisors and technical support staff are not authorized to use your User IDs and passwords.
- Keep your SecurID in a safe place.
- Do not keep a written copy of your SecurID passcode (PIN) with your SecurID, or where it could be easily located.
- If you need to write down your password, keep it in a secure location. Never post passwords on or near your desktop.
When vacating your office for lunch, breaks, or meetings, completely log off any systems or otherwise secure the desktop from unauthorized use, such as applying your computer’s screen saver password feature. At the end of your workday make sure to completely log off all systems and networks and power down your desktop computer.
The best way to secure institutional data, systems, and networks is by changing your password regularly. If you have reason to suspect your password has been compromised, change it immediately. Your password helps to prove who you are, and helps to ensure your privacy and the privacy of the data and systems you have access to.
Follow published password standards when setting and changing passwords:
Changes in employee status must be reported. If you are going to be leaving University employment, transferring to another University department, go on a non-working leave of absence for more than 6 weeks, or no longer need access to secured systems, such as CUFS, PeopleSoft, EDMS or Data Warehouse, immediately process the Change in Employment Status Form (http://www1.umn.edu/datasec/security/documents/AR002.doc).

Tip for CUFS USERS to lock (secure) your Session
- To lock your CUFS session, type e (for exit) in action field on a CUFS table and press <enter>.
- At the blank screen, type \l (for lock) and press <enter>.
- To unlock your terminal, go to the Enter password to unlock field and type your SecurID passcode (PIN) (not the numbers off your SecurID) and press <enter>.
- At the blank screen type UMTI and press <enter> to return to the CUFS Logo screen.

The University Financial Helpline can refer you to the proper department and assist with communicating financial problems. Help assistance is provided in finding forms and instructions, including requesting new reports or inquiring about acceptable substitutes.
